SearchStack beta

Privacy policy

Last updated October 12, 2026

This policy explains what personal information StackTech Solutions collects when you sign up for the SearchStack beta, how we use it, and the choices you have. We collect only what we need to run the beta, and we never sell your information.

1. Who we are

SearchStack is a product of StackTech Solutions, Inc based in St. Catharines, Ontario, Canada. We are responsible for the personal information described here.

Our Privacy Officer is Diana Cihak. You can reach us at privacy@stacktechsolutions.org or 49 Lake Street, St. Catharines, ON L2R 5W9.

2. What we collect

Information you give us on the beta signup form:

  • Name and email address
  • Organization or business name and job title
  • Whether you are a non-profit, a grant consultant or something else, how you would use SearchStack, and your city and state or province
  • Your consent choice for beta emails, with the date and time you gave it

Information collected automatically when you visit the page:

  • Basic technical data such as browser type, device, pages viewed and approximate location (country or city), collected through cookies and similar tools from our signup and hosting providers. See Cookies and tracking for details.

We do not ask for payment details, government ID or other sensitive information during the beta signup.

3. How we use it and your consent

We use your information to:

  1. Review your beta application and invite you to SearchStack
  2. Send you account setup, onboarding and service messages about the beta
  3. Ask for your feedback to improve SearchStack
  4. Send you news and updates about SearchStack and other StackTech Solutions products, only if you ticked the consent box
  5. Understand how visitors use our site, in aggregate

By submitting the form, you consent to uses 1 to 3 and 5. The marketing-email box is unticked by default, as required by Canada's Anti-Spam Legislation (CASL). Every marketing email we send identifies StackTech Solutions, includes our contact details and has a working unsubscribe link.

We will not use your information for any other purpose without asking you first.

4. Who we share it with

We do not sell or rent your personal information. We share it only with service providers that help us run the beta, under contracts that limit how they can use it:

ProviderWhat they do for usWhere data may be stored
HubSpotSignup form, contact records and beta emailsUnited States
Google WorkspaceBusiness emailUnited States and other countries
VercelHosts this websiteUnited States
RenderHosts the SearchStack applicationUnited States

Because some providers store data outside Canada, your information may be accessible to courts and authorities in those countries under their laws. We may also disclose information if the law requires it.

5. How long we keep it and how we protect it

We keep beta signup information for as long as the beta runs, plus 12 months, unless you become a customer or ask us to delete it sooner. If you unsubscribe, we keep only your email address on a suppression list so we do not contact you again.

We protect your information with access limited to authorized team members, two-factor authentication on our business accounts, and encryption in transit (HTTPS). No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada as required.

6. Your choices and rights

You can:

  • Unsubscribe from marketing emails at any time with the link in any email. We act on requests within 10 business days.
  • Ask to see the personal information we hold about you
  • Ask us to correct anything that is wrong
  • Withdraw consent and ask us to delete your information
  • Turn off cookies in your browser settings

Email privacy@stacktechsolutions.org to make a request. We will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada (opens in a new tab).

7. Cookies and tracking

Cookies are small files a website stores in your browser. This site uses HubSpot's tracking code, which sets the cookies below so we can recognize returning visitors, connect your signup to your visit, and understand which pages are useful. HubSpot also uses them to tell real signups apart from spam.

CookieWhat it doesHow long it lasts
hubspotutkRemembers your browser so your signup is linked to your visit6 months
__hstcTracks visits, including first, previous and current visit times6 months
__hsscCounts the pages viewed in the current visit30 minutes
__hssrcTells HubSpot when your browser has been restartedUntil you close your browser

These cookies record things like the pages you view and when you visit. When you submit the signup form, that visit history is linked to your contact record in HubSpot. We use this only to run and improve the beta, and we do not use it for advertising.

We also use Vercel Analytics to count page visits in aggregate. It does not set cookies or identify you.

You can block or delete cookies at any time in your browser settings. The site and signup form still work without them, but your signup may take longer for us to review.

8. Changes to this policy

We will post any changes on this page and update the date at the top. If a change affects how we use information you already gave us, we will email you before it takes effect.
